Position Summary:

Provides high-level administrative support to key company executives and senior management to ensure they can efficiently accomplish key tasks and company initiatives. Responsible for confidential and time sensitive material, prioritizing calendar appointments, emails and phone calls, gathering documents to prepare for meetings and coordinating travel arrangements.

Responsibilities of Position:

  • Represent the company in a professional, ethical, and courteous manner in all relationships.
  • Communicate clearly and accurately in person and in written communications.
  • Track department budgets and prepare summary statements routinely.
  • Manage executive events and off-site meetings as needed.
  • Prepare presentations for executives using the latest software techniques.
  • Support executives with administrative tasks including travel, calendar management, and expense reporting.
  • Complete routine administrative tasks such as filing, managing calls, typing, etc.
  • Track department projects and ensure follow up meetings are arranged.
  • Support executives to ensure daily priorities are managed appropriately.
  • Support/monitor any executive visitors at our Corporate Office.
  • Performs related duties and special projects as assigned.

Skill Requirements:

  • Expert level Microsoft 365 skills, including TEAMS, One Drive, Outlook, PowerPoint, Word and Excel.
  • Ability to create professional PowerPoint presentations.
  • Ability to organize complex global travel requirements.
  • Strong organization, problem solving and decision making abilities.
  • Able to quickly edit and improve written material for clarity.
  • Ability to work in and control a very fast paced, multitasking and highly confidential environment.
  • Ability to handle frequently changing calendars, meeting activities and constantly changing priorities.
  • Able to read and digest information quickly and react in a timely manner.
  • Familiar with the operations of a global business environment.
  • Strong skills in ensuring documents and presentations are 100% accurate in both form and content.
  • Emotionally intelligent; able to act with compassion or levity when appropriate.
  • Able to communicate directly and concisely with executive staff, senior management, and external contacts.
  • Aggressive nature to complete tasks.
  • Self motivated, flexible and detail oriented.
  • High level of attention to detail in a highly dynamic environment.
  • Ability to interface confidently with all departments and units within the company worldwide, including senior executives.

Experience Requirements:

  • 5 years experience in a related position.
  • Automotive experience preferred.

Licensing or Special Certification Requirements:

  • Valid drivers’ license.
  • Notary public commission helpful, but not required.

Physical Requirements:

  • Ability to work at a personal computer for extended periods of time.
  • Ability to tolerate stress.

Education:

  • Bachelor’s degree in business, finance or other business related field.
